Tools we use to manage journal subscriptions

EBSCONet -- Database of prices and format options maintained by our agent EBSCO. We rely on basic license information from this database to determine if an ejournal will IP authenticate and give perpetual access.

Intota -- The eKnowledgebase of titles and access dates behind the content discoverable in Summon, the titles in the Journal A-to-Z, and the connections made in 360Link.

Journal subscription calendar

Jan. -- edit print check-in cards for canceled and new online only titles; begin process of uploading ejournal costs into Intota

Feb. -- begin gathering last print issues of canceled and new online only titles; begin gathering usage information from publisher platforms not already automated

Mar. – begin removing boxes of canceled and online titles from Baxter Room; begin checking online access for subscription ejournals

Apr. – Library Journal Price Survey is published; update pricing projection for next fiscal year; check for print subscriptions that have online options

May -- check for unpaid subscriptions; receive funding numbers from Provost’s Office

June -- receive next year's renewal list from agent; begin tracking subscription changes we already know we want

July – fiscal close and rollover; review rollover report for extraordinary subscription price changes; request and pay single-line, deposit invoice from agent

Aug. – collate subscription changes from subject specialists; enter subscription changes at agent by SEPT. 1; update renewal workbook for current fiscal year and update current subscription projection; check again for last issues of canceled or online only titles to be bound or removed from Baxter Room

Sept. -- publicize changes to subscriptions

Oct. -- reconcile Elsevier and other publisher group invoices

Nov. – large renewal invoices arrive from agent; double-check for cancelations and format changes

Dec. – confirm actual paid amounts in current fiscal year on renewal workbook; make preliminary projection for next fiscal year

Technical details we check when setting up a new ejournal

  • Does it authenticate via IP recognition and allow use of a proxy server? Library does not add ejournals that require username and password to authenticate.
  • Does it provide perpetual access, and if so, how much?
  • Does it require a signed license?
  • Does it allow Inter-Library Loan?
  • Is the platform OpenURL compliant?
  • Does the platform provide COUNTER usage statistics, or any statistics?
  • Does the platform work with SUSHI?
