Metadata and Digital Initiatives / UM Libraries: Database Maintenance

MDI is responsible for the processing and description of items -- new and archival, physical and digital -- for the library's catalog and discovery services, and manages the library's digital initiatives including the Institutional Repository.

Notes

Items moved to Annex need to make the following changes:

Item records:
Location: change to stor
Status:  change to f
Imessage: change to r (this field usually is blank, if it is p (check pieces), change to r and add a m field with text: check pieces; if it is other code, keep as it is, don't change to r)
x (note): add the range and row numbers, i.e. R27/A1 (don't add if don't know) 
x 948: |b[your III initials](for cat students use catcps-[your first name])|cLoc. changed to stor|dYYYY-MM-DD (i.e. 2009-01-14)
 
Bib records: 
Location: make sure all locations showing in “summary” > view “item” are listed in the bib loc. If there is an “Internet” location listed, you need to open the “Int” item record; if the record is suppressed, don’t show “Int” in the bib record. 

Batch deletion of OCLC holdings by OCLC numbers
  1. Create a list for bib records to be deleted.
  2. Export the records of the list to an excel file with OCLC#, III# and title.
  3. Copy OCLC# from the excel file and paste them into a notepad file. Save the file on Desktop.
  4. Go to  OCLC Connexion > Batch > Holdings by OCLC number > Browse >Desktop Notepad withdrawn file > Action > Delete > Delete holdings > ok
